  1. Naming Standards and Conventions :

  2. Investigate how documents are named and organized. Are there consistent naming conventions?

  3. Suggest a ONE CS Naming standard for managed documents.

  4. Document Types and Categorization :

  5. Find different types of documents used in the organization (e.g., contracts, reports, presentations). Understand how they are categorized and stored. Where they are found and who uses the documents. Record by document type the age of the existing documentation e.g., oldest documents, number of years. Verify the number of documents that could be obsoleted.

  6. Suggest a ONE CS document type and categorization standard.

  7. Departmental Analysis :

  8. Collaborate with various departments and ERP work stream SMEs to understand their specific document management needs. Each department may have unique requirements, workflows, and challenges.

  9. Sequencing and Workflow :

  10. Map out the document lifecycle—from creation to archiving. Analyze the flow of documents across departments. Find bottlenecks, redundancies, or missing steps.

  11. Suggest improvements to address managed document inefficiencies.

  12. Centralized Storage Solutions :

  13. Evaluate our current managed document solutions.

  14. Suggest a ONE CS centralized storage solution that meets the company’s needs. Consider scalability, security, accessibility, and ease of use.

  15. Technical and System Solutions Research :

  16. Investigate technologies and tools that enhance document management.

  17. Explore options like document management software, cloud storage, version control systems, and collaboration platforms.

  18. Cost-Benefit Analysis :

  19. Assess the costs associated with implementing new solutions versus the potential benefits. Consider factors such as licensing fees, training, and long-term savings.

  20. Recommendations and Action Plan :

  21. Based on your evaluation, propose recommendations for improving our document management. Create an action plan outlining steps to implement changes. Prioritize solutions based on impact and feasibility.

Qualifications

KNOWLEDGE/ SKILLS/ EXPERIENCE/ EDUCATION: (Minimum Education and/or Experience required)

  • Excellent attention to detail, the quality of work must be accurate, well-organized, and aligned with the project goals.

  • Ability to organize and prioritize work to meet deadlines.

  • Intermediate knowledge of Microsoft Office 365 Products (to include Word, Excel, PowerPoint, Outlook, and Teams)

  • Collaboration and communication.

  • Hybrid (3 days office, 2 WFH).

  • Applicants must be authorized to work for any employer in the U.S. We are unable to sponsor or take over sponsorship of an employment Visa at this time.

  • Interns are responsible for their own housing and transportation.
